Terms of Service

The terms for every Publentra engagement. The written quotation for your work sits alongside them and fills in the details that differ from one engagement to the next.

Ownership

Who we are and what we provide

Who we are. These terms form the agreement between you and Publentra Web Governance Ltd ("Publentra", "we"). The company is incorporated in England and Wales under number 17290498, and its registered office is 7 High Street, Kington, Herefordshire, HR5 3AX. Whatever is addressed to us goes by email at main@publentrawebgovernance.com or in writing to our registered office, 7 High Street, Kington, Herefordshire, HR5 3AX.

What we provide. Website governance and publishing operations for organisations managing large sites and frequent content changes. The services are:

  • Publishing governance: Page ownership, publishing rules, update requests and clear responsibilities for everyone who contributes to the site.
  • Operational workflow: Approval stages, a content calendar, status tracking, version control and review cycles that match how the organisation actually works.
  • Implementation materials: Ready-made governance frameworks and practical documentation that keep publishing consistent after the engagement ends.

What the customer receives. Governance frameworks, publishing workflows and operating documentation, handed over digitally as editable files with handover notes. Where the written quotation includes it, coordination of contributors during implementation and support for ongoing publishing routines.

What we do not provide. We do not write or publish your content, run or host your website, or build content management software. Regulated, legal, financial, medical and cybersecurity services sit outside the work, and so does sensitive internal material.

Who these terms are for. The services are offered to businesses. A consumer's statutory rights are untouched by anything here: where these terms and those rights differ, the rights prevail.

Review

How an engagement is agreed, priced and run

How an engagement is agreed. You write to us; we answer with questions and then with a written quotation that names the scope, what will be handed over and in which formats, how many revision rounds are covered, the timetable, the price and how payment works. The agreement is made once the quotation is accepted in writing and our order confirmation has gone out. Nothing published on this website is an offer you can accept on its own.

Price and currency. Work is priced in pounds sterling (GBP). The figure in your quotation is the entire price, with applicable taxes already included, and it does not grow afterwards. Anything outside the agreed scope is priced separately and settled in writing before it is done.

Paying. Invoices are settled using the payment methods and by the due date the quotation states. Where card payment is offered, it happens on a secure page run by the payment provider; card details are never seen or stored by us. This website itself takes no payments.

Delivery. The agreed materials arrive electronically, as editable files attached to an email or reached through a download link. The details are on the Delivery & Refunds page and in the quotation.

Cancelling and refunds. A consumer may cancel within the 14 days that follow the day the contract is concluded; the mechanics and the refund rules are on the Delivery & Refunds page.

What we ask of you. To supply the materials and information the scope names at the points the schedule sets; to confirm you are entitled to pass us what you supply; to review drafts against the agreed scope; and to name one person with authority to approve the work. When materials reach us later than agreed, dates move accordingly.

What not to send us. Keep passwords, card or bank details, identity documents and anything personal about your own clients out of a first enquiry. Where the work later needs material that may hold personal data, the way it reaches us is agreed with you beforehand.

What we promise. The work is done with reasonable care and skill, and what we hand over matches what the quotation describes. A consumer also holds the Consumer Rights Act 2015 entitlements: services supplied with reasonable care and skill, along with digital content of satisfactory quality, fit for the purpose made known to us and as it was described. Nothing in these terms narrows those entitlements.

Your materials and the result. What you supply — content, brand assets, other materials — remains yours, and we use it solely for your engagement. For what we deliver, the position is set in the written quotation: it states who owns the delivered frameworks and documentation and on what licence you may use them. These terms alone grant and imply no licence.

Our liability. No term here excludes or restricts a liability the law protects from exclusion or restriction: death or personal injury arising from negligence, fraud, fraudulent misrepresentation, and any other liability that cannot lawfully be carved out. Beyond that: where you buy as a business, we are not liable for lost profit, lost business or any indirect loss, and the most we owe for an engagement is the price paid for it. Where you are a consumer, we answer for loss that was a foreseeable result of our breaching these terms or of our failing to use reasonable care and skill; loss that was not foreseeable is not ours to bear.

Release

Ending, complaints and the law

Ending an engagement. Either side may end the contract in writing if the other commits a serious breach and fails to put it right within a reasonable time of being asked. On an early end you pay for what was properly completed up to that point, and we hand over what is finished. Where the engagement ends because of our serious breach, your legal rights are untouched, including a price reduction or a refund. Consumers also hold the cancellation right described on the Delivery & Refunds page.

Complaints. If something is not right, write to us by email at main@publentrawebgovernance.com or in writing to our registered office, 7 High Street, Kington, Herefordshire, HR5 3AX. We confirm a complaint has reached us and send a considered reply within five working days of receiving it. Where a full answer needs more time, we say so within the same five working days and give the date we will answer by.

Changes to these terms. These terms may be updated; the edition in force when your order is confirmed is the one that governs your engagement.

The law that applies. English and Welsh law governs this contract, and disputes are heard by the courts of England and Wales. Consumers resident in Scotland or Northern Ireland may equally sue there, and the mandatory consumer rules of that part of the UK still protect them.
